Abstract

This study aims to analyze the implementation of a QR Code system in the retrieval process of employee document archives at PT X. The research focuses on the implementation of the QR Code system, the challenges encountered during its use, and the efforts undertaken to support the effectiveness of the archive retrieval process. This study employed a descriptive method with a qualitative approach. Data were collected through observation, in-depth interviews, and documentation. The research participants consisted of one manager and three employees from the Human Capital Division who were directly involved in managing employee document archives and utilizing the QR Code system. The findings indicate that the QR Code system is implemented by linking physical archives with digital archives stored in Google Drive. Each archive box is equipped with a QR Code that can be scanned to access digital folders categorized according to employee document types. The implementation of this system has facilitated and accelerated the archive retrieval process, enabling users to locate archival information more efficiently. However, several challenges remain, including technical issues related to unstable internet connectivity and archival management issues such as discrepancies between digital and physical archives, as well as inconsistencies in digital file naming. To address these challenges, the company has undertaken various efforts in managing digital archives to support a smoother archive retrieval process. Therefore, the QR Code system has made a positive contribution to enhancing the effectiveness of employee document archive retrieval at PT X.
